What is Inspherio?

Inspherio is a comprehensive all-in-one business management program designed specifically for wedding and event professionals. It is designed to take the steps you already use and streamline the process so you can build your relationships with your clients and spend more time enjoying life.

Who uses Inspherio?

Inspherio is used by professionals in all areas of the wedding and event industry, including: photographers, dj/band, videographers, wedding planners, reception halls, caterers, bakers, florists and make-up artists.

What can I do with Inspherio?

With Inspherio, you can manage all aspects of your business workflow, including: leads, pricing, questionnaires, contracts, invoices, payments, expenses, email marketing, and much more.

Do I have to download anything?

No, Inspherio is all online. As long as your computer can connect to the internet – with a browser such as Internet Explorer, Firefox, Chrome, or Safari (on a Mac or PC) – then it can run Inspherio.

How do I switch from my program to Inspherio?

With Inspherio there is no software to download. Everything is accessible through your browser. When you sign-up, we will help to import your leads, customers, and set up your account.

Can I use my current website or do I need to create a new one?

You can continue to use your current website as long as you want.Your account includes links that can be integrated on your website to gather new contact information and allow leads/clients to login to your client portal.

Can I customize my client portal to match my brand?

Yes! We can even help you with this setup process if you send us your logos.

Are there any support costs or setup fees?

No, our support team is here to serve you. Just send us your questions or requests and we will help you out.

Can I try Inspherio before becoming a member?

Your initial trial of Inspherio is FREE! We welcome you to try the complete version of Inspherio for 30 days. You can upgrade or cancel at any time since there are no long-term contracts.

How many computers can I use it on?

As many as you want! Since the program is web-based, it’s not limited to a single computer. That means you can use it on any computer – Mac or PC – without paying for extra licenses.

What forms of payment can I accept through Inspherio?

Inspheriohas integrated PayPal and Authorize.net. If you have an account with either, you will be able to process credit cards through Inspherio. It’s safe and secure, so you won’t have to store your customer’s personal financial information for other’s to access.

Will my information be safe on Inspherio?

We take every precaution to make sure our member information is safe and secure. We use an encrypted network, virus protection, firewalls, and a moat with alligators in it. Your info, contacts, customers and accounts are all safe with us.

What happens to my data if I choose to cancel my subscription?

Before canceling you can download your contacts and your accounts. Once you leave, we’ll scrap your data for security reasons, so be sure to take it with you before you leave. Really though, why would you leave us?

Who owns my data?

You own your information/data. As stated in our terms of use, Inspherio does not obtain any right, title, or interest in your information. Inspherio will not use or sell any of your data.

Can I use Inspherio on my phone?

We have both iPhone and Android apps that allow you to have all your event information available at all times. We also have tablet apps in development for iPad, Android, and Windows.

Features

Can I import my leads and other contacts into Inspherio?

With Inspherio leads are automatically imported from your website Contact Me page. You can also import your contacts from a .CSV file.

Does Inspherio allow me to send standard pricing packages or build custom quotes?

Yes, you can easily send one or all of your packages with just a few clicks of the mouse. You can also create your own custom built quotes, either from scratch or based off a standard package.

Do I have to manually input client/event information?

Inspherio has simplified the process with our exclusive KYE or Know Your Event form. Our KYE form saves you time, liability and a major headache. Your clients complete the form within their secure client portal and the information automatically populates into your Inspherio account.

Does Inspherio offer any kind of email marketing?

Our email marketing function allows you to create email templates that can be reused for your email marketing campaigns. Schedule email marketing campaigns to your contacts or contact groups to keep them informed of your upcoming promotions and business developments.

Does Inspherio allow me to schedule my employees?

With Inspherio you can add employees and assign specific employee roles and permissions.You can assign your employees to any number of events, meetings, tasks and track their personal days. You can even assign your employees directly to events and track their Professional calendars.

Can I sync my current calendar with Inspherio?

You can sync your Inspherio calendar with your Google calendar. Your Google calendar can automatically sync to your Inspherio account which takes the hassle and worry out of maintaining multiple calendars.

Can I use my own contracts?

Yes, you can upload your existing contract templates. You can also upload your signed contract to client events.

Does Inspherio offer electronic contracts?

Yes, our electronic contracts can be set to autofill so you don't have to double-enter information. Our contract e-signing function helps you book your events and receive your deposits faster.

What forms of payment can I accept through Inspherio?

Can I create a client payment plan?

Yes, with Inspherio you can create a customized payment plan for each individual client. When creating a contract, you can set number of payments, their due dates, and their amounts. Your account will use this payment plan to auto-generate the invoices for you.

With Inspherio, can my clients view their questionnaires, contracts, and invoices?

Yes, our Client Portal allows your clients to login from any computer to view and complete questionnaires, contracts, and invoices. Clients can also view their event information and make payments from within their secure client portal.

Do I have to manually create invoices?

Inspherio will automatically generate Invoices based on the payment plan you established when creating your contracts. This helps you avoid forgotten payments due and other costly invoice errors.

Does Inspherio allow me to track expenses for my event(s)?

You can record your various expenses and assign them to particular events. Event expense tracking allows you to see exactly what your profit margin is for every event.

Can I use my current website or do I need to create a new one?

You can continue to use your current website as long as you want.Your Inspherio account includes links that can be embedded on your current website to collect new leads and to allow leads & clients access to their client portal.

Can I customize my client portal to match my company's brand?

Yes! We can even help you with this setup process if you send us your logos.

Am I able to keep track of my inventory?

Yes, you can easily manage your entire inventory with our integrated Inventory Management Feature. You will always know your quantity on hand at all times.

What kind of reports does Inspherio offer?

We offer profit and loss, payroll, contacts information, event status and payment status.

Am I able to export my reports for tax reporting?

You can export reports in Word, Excel, or PDF format and provide certain ones to your CPA for tax reporting purposes.

Can I use Inspherio on my phone?

Can I limit what my employees see in our Inspherio account?

Inspherio allows you to limit access to different parts of the program for specific employees so they can only see and do what you allow them.

Am I able to add an event guest list?

Yes, you can customize the desired guest list fields for each event and add guests individually or upload a .CSV file to import a full list of guests. You can also give access to your client to do the same through the client portal.

Can I build an itinerary?

Yes, you can build a customizable itinerary for your clients, vendors, employees, and anyone else who needs to stay on schedule.

How much does Inspherio cost?

We provide two pricing packages to meet your business management needs. Our Pro package is only $10/per month and can accommodate 1-5 users and unlimited events. If you have a much larger business, then our Enterprise package is perfect for you. The Enterprise package is $40/per month and will accommodate unlimited users, and unlimited events.

Is there a free trial?

Yes, we offer a no hassle, no strings attached free trial. We do not even require a credit card to register for our free 30 day trial.

Is this a contract or am I obligated for any period of time?

No, there are no contracts or obligations. You simply use the program and pay month by month.

Do I get a discount if I want to use the program for a longer period of time?

Yes, If you prefer, you can save by choosing to be billed yearly at a significant discount instead of being billed monthly.

Is the free trial limited or restricted?

Your free trial is all-inclusive and it is not limited in any way. We want you to try it out uninhibited for 30 days.

Once I register, will I find that my account is limited and that I'm required to pay added fees to use most functions?

Your account includes everything we offer, we do not have any hidden fees. However you can choose to link your account with your SmugMug account, which may cause you to incur fees from SmugMug.

Is there support & Training included?

Yes, we offer unmatched, free live customer support and training right from our offices in Rock Hill, SC. Our training and support options include phone and chat support Monday - Friday 9am to 6pm est and 24/7 email support. We offer weekly webinars and we can schedule one-on-one training sessions for you and your staff at your convienience.

Will the price increase after I get comfortable using the program?

No, you are locked into your pricing package for as long as you are a subscribed member of Inspherio.

Do I have to pay for additions or upgrades made to the program?

No, we do not charge for updates or additions. However, we may integrate other options from third party providers that may potentially charge added usage fees. Any features that get added would be optional.

Because its so affordable does this mean that the program will not continue to be improved upon or change as my business grows and changes?

No, not at all! We do all of our customer support, training, research & development, design, and programming in house. This means we have our hands on the pulse of our Inspherio users so we listen to your wants & needs, then we make the necessary changes and additions as they are required to suite your business.
